1. Who controls your data
The controller is TWO CLOUDS SOFTWARE LIMITED, registered in Northern Ireland under company number NI730753, registered office 15 Ferndale Avenue, Newtownabbey, BT36 5AL, United Kingdom. Write to support@twocloudssoftware.co.uk about anything on this page.
2. What we collect, and why
- Order and billing details — name, email, address, postcode, country, and optionally company name and VAT number
- Collected by us, on this website, in the checkout form. Needed to perform the contract (UK GDPR Art. 6(1)(b)) and to meet our tax record-keeping duties (Art. 6(1)(c)). We pass them to our payment service provider so the payment can be taken and the correct tax applied.
- Payment card details
- We never receive these. They are entered on a page hosted by our payment service provider and never reach our servers.
- Messages you send us — through the contact form, the question window or by email
- Used to answer you. Legitimate interests (Art. 6(1)(f)) in responding to enquiries, or performance of the contract where you are already a customer.
- Platform activity — which lessons you have opened and which exercises you have submitted
- Used to show your progress and to issue certificates. Performance of the contract.
- Server logs — IP address, request time, page requested
- Kept by our hosting provider for security and troubleshooting. Legitimate interests.
We do not collect special category data, we do not profile you, and we make no automated decisions that produce legal effects.
3. Who your data is shared with
We share the minimum necessary with the following categories of recipient: our payment service provider, which acts as merchant of record and processes the payment and its tax documentation; our hosting provider, which stores this website and the order records; and our accountants and, where legally required, HMRC. We do not sell personal data and we do not share it for advertising.
Some recipients operate outside the United Kingdom. Where that happens, transfers rely on adequacy regulations or on the UK International Data Transfer Addendum to the EU standard contractual clauses.
4. How long we keep it
- Order and billing records: six years after the end of the financial year in which the order was placed, as UK tax law requires.
- Your order page: as long as the order record exists, so the link keeps working.
- Enquiries that did not become orders: 24 months.
- Platform activity: for the length of your access period plus 12 months.
- Server logs: as set by our hosting provider, typically weeks rather than months.
5. Your rights
You can ask us for a copy of your data, for corrections, for erasure, for restriction of processing, for portability, and you can object to processing based on legitimate interests. Email support@twocloudssoftware.co.uk; we respond within one month. Erasure does not extend to records we must keep for tax purposes.
If you are unhappy with how we have handled your data you may complain to the Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, or at ico.org.uk.
6. Cookies
We use only cookies that are necessary for the site to work, plus one you can switch on yourself to remember your billing details. There is no analytics or advertising tracking. The full list is on the cookies page.
7. Changes
If we change this notice we update the date at the top. Material changes affecting existing customers are also sent by email.
